The conversion or “rollover” of dues to the 2023 balances is scheduled for this Thursday, June 16. As soon as the rollover is confirmed correct, we will debit the credit cards for members enrolled in automatic dues payments, and all others may begin paying 2023 dues online.

Thank you to all who joined Computer Services and Membership Services on May 11 for the 2023 Dues Year Seminar. We hope that you found it beneficial.

As a follow up, we have placed an instructional document from the event in the Document Library. On the Document Type menu choose Unified Valley Billing System. The document is called 2023 PowerPoint with Processing Schedule. We recommend that everyone review this short document as we get ready for the 2023 Dues Billing Cycle. For more than two centuries, our members have benefited from the close ties enjoyed between our Supreme Councils. Our Brethren, during the past two years, have often been constrained by the restrictions of the pandemic and unable to fully enjoy the benefits of our in-person meetings and fraternal events.

As Sovereign Grand Commanders, we stand united in strongly encouraging our members, wheresoever dispersed, to once again partake of opportunities to meet with their Brethren. We emphasize that the doors of every Valley in both of our jurisdictions are open to Scottish Rite members in good standing, regardless of their jurisdictional affiliation.

Therefore, members of any Southern Jurisdiction Valley are encouraged to enjoy the fellowship and programs offered by any Valley event in the Northern Masonic Jurisdiction.

Likewise, members of any Valley winthin the Northern Masonic Jurisdiction are encouraged to enjoy the fellowship and programs offered by any Valley event in the Southern Jurisdiction.

Should you receive an invitation from a Valley outside your jurisdiction, feel free to take advantage of any opportunity to attend an upcoming meeting or program.

Our fraternity thrives on a longstanding tradition of reciprocal travel and visitation. We think the time is right for the Brethren of the Scottish Rite to take full advantage of any inter-jurisdictional opportunities to share the Brotherly love and affection we cherish.

Attention Billing Valleys. The 2023 Dues Documentation Form link will be sent to Valley Secretaries’ Official Email addresses from Feb. 9-Feb. 15th, 2022. Valleys are required to complete the Form each year. To complete the 2023 Form, click the button in the email to access your live Form. Next, review and update your Valley’s information as needed and submit your Form. The Finance Office has the Per Capita amount set at $30 for 2022, ending on 12/31/2022

The 2021 processing year ended at midnight, EST, January 31, 2022. Over the next few weeks Computer Services will create the 2021 Annual Reports which we will place in Sentinel under Supreme Council Reports. Computer Services will notify each Valley when the reports are available. Active and Deputies will receive their reports via email from the Grand Executive Director.

Additionally, the final per-capita assessment will be based on the final yearend totals, minus exemptions.

We are now in the 2022 processing year which will run from February 1, 2022 through January 31, 2023. Beginning today, February 1, all membership gains and losses apply to the 2022 per-capita year.

The 2021 Annual Reports that were placed in Sentinel under Supreme Council Reports on January 7 were created by mistake and have been removed. The correct and “official” reports will be placed in Sentinel in February after we close the books on 2021 at midnight, EST, on January 31, 2022.

It is that time again! We are a little over a month away from closing out the 2021 processing year, generating the Annual Report, and calculating the final per capita. So, here are a few things you need to know:

1. Use Sentinel to submit end-of-year suspensions and other losses by January 15, 2022. This will give your SGIG or Deputy ample time to review them before we close the books on January 31, 2022.

2. During January, use an effective date of 12/31/2021 or earlier when reporting end-of-year losses. Please do not submit status changes during January with a 2022 effective date unless you are reporting a death. Reporting suspensions with a 2022 effective date would make these members subject to the 2021 per-capita assessment.

3. Report new senior member per-capita exemptions on Form 80 no later than January 15. Remember! To be eligible for senior per-capita exemption, a member must be 80 years or older and in financial need or a 50-year member and in financial need.

Valleys are beginning to receive 2022 cards for members who were past due at the time the dues file was sent to the printer on June 18. The printing company, MJO Services, Inc., mailed these 2022 cards to the Valleys as the result of a policy decision made during the 2021 Workshops. In short, Computer Services instructed MJO Services to send the cards to the Valleys for members owing more than 2022 dues.

Today, it has come to our attention that a few Valleys have contacted MJO Services with complaints about receiving 2022 cards for unpaid members. MJO was simply following the instructions given to them. All Valleys were notified of this policy change by email on May 18 of this year. To assist you with setting up your membership dues records for the upcoming 2022 dues billing, we have added two new documents to the Document Library in Sentinel. To locate them in the Document Library, you may scroll down the long list until you find them or choose “Unified Valley Billing System” from the dropdown “Document Type” menu to display only UVBS documents.

Please see the Guide to Dues Status Codes and Dues Type Codes for information on managing membership dues billing records in Sentinel. Please see Unified VBS – Information and Schedule for details on the dues printing and mailing process, as the schedule has changed. A detailed schedule is included in the document.

The first dues renewal notices will go out in July this year, rather than August. Therefore, we will upload the dues print file to the printing company on or about June 15. Thus, all dues payments that you have received by that date should be entered into Sentinel. Also, any new “Senior” per-capita exempt members should be reported to the Grand Executive Director on Form 80 by June 1.

New House of the Temple Contact List

You will find an updated House of the Temple Staff, Programs and Services contact list in the Sentinel Document Library. This document lists all House of the Temple staff along with each employee title and job description. Section 2 of the document displays a list of Supreme Council events, programs and services as well as a contact person for each entry.

Dues payments that were entered into Sentinel by 11:59 PM on Wednesday February 3rd will process as updated in Sentinel. Your Valley’s Unpaid Member dues data was uploaded for printing on February 4th. This means that any Members with an Unpaid balance as of February 4th will receive a 2021 Dues Reminder notice in the mail. These February notices are expected to enter the Bulk Mail stream during the week of February 15th and the notices will be delivered to your Members over a three-week period by a zip code order that is determined by the postal service.

The print file for the follow-up billing of unpaid members is due at the printing company this week. In previous years this billing took place in March. However, Computer Services has been instructed to move the billing back one month to February. The tentative date for mailing the notices is the week of February 15. Again, this mailing is only for members who currently have a balance due, and the notices will be sent out on behalf of all Valleys.

We must ask that all Valleys submit year-end suspensions by January 15 so that your Active or Deputy has adequate time to review them. Use Sentinel to submit your suspensions. While performing a database query for a domestic mailing list, it came to our attention that over 3,600 membership records throughout the Southern Jurisdiction did not have USA entered as the domestic address country; this field was left blank. As a result, these names and addresses were not included in the mailing list. Fortunately, we discovered the problem prior to sending the list to the printing company.

This USA indicator is necessary for certain data files that we create each year. Judy F., Membership Services, volunteered to enter the missing information. Some Valleys only had a few while others had hundreds of affected records. These updates to the country field are the source of the multiple address change notifications. Judy has completed the updates. However, while working in Sentinel, if you see records that have no country indicated, please enter the appropriate information.

While performing our pre-billing audits of member records, it has come to our attention that some Valleys are using the 50-Year Dues Waived code in combination with Per-Capita Only. This is not in accordance with the instructions sent to all Valleys. If you are billing 50-year members any amount at all, you have to set them to 50-Year Pay Dues. If you combined 50-Year Dues Waived with Per Capita Only, or any Special Dues Code, or a Regular Dues amount, then no balance due was inserted into the members record. If you wish to make corrections, you must make them no later than Thursday, July 16. However, because the rollover to the 2021 dues year has been completed, you will have to manually change the Dues Code to 50-Year Pay Dues and manually insert a balance due into the member's dues record.

Also, some Valleys set their senior members to Per Capita Only. The Supreme Council does not assess per capita on senior members. Thus, these members will not be billed $30. All senior exemptions with a balance due for 2021 have been changed to General Remit and No Dues Assessed.

The annual rollover of membership dues will take place this year on or about July 10. This is the process by which the 2021 dues balances are inserted into the member records of all dues paying members. The Supreme Council Computer Services will email a Dues Documentation Form to all 217 Valleys in May. The Valleys will use this form to provide Computer Services with instructions for printing and mailing your notices. Because all Valleys will participate in the Unified Valley Billing System for the 2021 dues year, all Valleys will receive a Dues Documentation Form.

In light of the COVID – 19 Pandemic we must remind ourselves of the negative impact the 2008 financial crisis had on our Fraternity. We can use the information gathered from our member restoration program for Brothers lost in the 2008-09 period and develop a strategy based upon the lessons we learned.

In these uncertain times, many of our brethren are in danger of being furloughed from work or placed on reduced hours and will be making difficult decisions on where to spend their money. We do not want our Brethren to be worried about losing their Scottish Rite membership.

Therefore, during this crisis, I am tomorrow suspending action on removing members from our rolls for non-payment of dues until June 15, 2020. I realize this decision is not something any of us expected to contemplate, but under these dire circumstances, I feel this is the right direction for the right reasons. It simply does not send the appropriate picture of Brotherly love to continue processing suspensions when there is so much fear and uncertainty.

If one of your Valleys is struggling with paying per capita at the end of this year, contact us and we can adjust the bill for those members who otherwise would have been suspended under normal operations. Our Grand Executive Director will notify Valleys of this change in process, but I strongly encourage you to also share it and to emphasize with your leadership teams that this is an opportunity for contacting all members using multiple formats like calls, emails, videos, etc. We need to remain connected. Also, please try to contact previously suspended members to get them back.

Some Sentinel users have received an error message when downloading documents from the Document Library. It would tell the user that no application was available to open the document. This has been corrected. It was caused by changes that browsers like Chrome made in a recent update. Sentinel had to be modified to handle the changes. You will see the page refresh. You should now be able to add or edit emails. You should not have to do these steps again.

We close the books for the 2019 processing year at midnight on January 31, 2020, EST. Because we are still in the 2019 processing year during January, in order for status changes to be processed, they must have an effective date of 12/31/2019 or earlier. Therefore, with the exception of deceased dates, please be sure that all status changes submitted via Sentinel during January 2020 have a 2019 or earlier effective date.

IMPORTANT! Use a 12/31/2019 or Earlier Effective Date. Please do not submit status changes during January with a 2020 effective date.

All Valleys should use Sentinel to submit end-of-year suspensions, and all suspensions should be entered in Sentinel by January 15; however, we urge you to report early because your SGIG or Deputy must approve all suspensions electronically in Sentinel before they become effective and thus not subject to the 2019 per capita assessment.

The final per capita assessment for 2019 will be based on Valley end-of-year membership totals as shown on its year 2019 Annual Report, minus the members who are exempted from the per capita assessment (SGIGs, Deputies, Emeriti Members, Grand Cross members, and senior exempt members). Your cooperation in meeting the above deadline for submitting suspensions, along with any other changes of status that are effective as of 2019 or earlier, will be greatly appreciated.

We have begun updating the records of the 2019 Honor Men to KCCH and 33° in Sentinel. We have also begun printing and mailing to each Valley the updated cards for your new KCCH and 33° members. We print the cards according to the conferral date. For example, if a member is conferred on a later date such as October 1, we will not update his record and print the card until we are near that date.

Also, because we receive many regular card orders each week, these cards are printed at the same time that we print the cards for the newly elected Honor Men, so your shipment may contain cards for both groups.

Washington, DC, Power Outage!

Pepco, the power company serving Washington, DC, experienced an equipment failure on Saturday, July 27, which caused an interruption in Sentinel and email delivery. The system was offline from 5pm Saturday until 1pm Sunday. All service has now been restored.

The 2020 membership cards have been shipped to each Valley. If your Valley has not already received your shipment, you may expect it any day.

The 2020 card print file was created on May 9; therefore, any member added as an initiate, reinstatement or affiliation after that date will not be included in your shipment. However, we are printing these addtional cards in-house and will mail them to each Valley.


We are still gathering information from a few Valleys regarding their 2020 dues details, as soon as we have resolved these issues, the 2020 dues balances will be inserted into Sentinel. A notice will be posted here when we are ready to perform the rollover to 2020 dues. If you have questions, please contact us!

Brethren all,

Starting this 2020 cycle, an optional "Automatic Membership Renewal Program" for paying Dues through the Scottish Rite Member Portal is available. Your Valley will be informed by email of Members who sign up to participate. The transactions will be processed in August and the monies will be applied towards the 2020 dues year.

Members will get an email reminder a few days before the payment is processed.

As with any new program, there will be questions. Below, we have addressed the ones we anticipate to be the most common.

1. How will the system differentiate between Valleys with differing Dues?

The billing structure will not change as the result of the "Automatic Membership Renewal Program." Every Valley currently has a Control Page in Sentinel that displays its Dues structure. The billing system is programmed to use this Valley Dues structure information to calculate each members Dues. The "Automatic Membership Renewal Program" will debit a members credit or debit card at the appropriate time and amount, working, as it currently works, to calculate Dues.

2. How will the system handle those Valleys that have fewer than four Bodies or a Brother with memberships in multiple Valleys?

The "Automatic Membership Renewal Program" will work the same as it works today for online payments or payments by mail, except it will be automatic. It will automatically enroll the member in the proper Bodies of each Valley based on his personal Dues record in Sentinel.

3. Please explain the timeline from Dues payment to Supreme Council, and the transfer of the Valley funds, and the charge per member for the service. What amount of the Dues will be withheld and when will the Valley get the check?

How and when the Finance Office handles monies received from Members, and the amount withheld will remain unchanged from the current system.

This week, an email will be sent to Brothers who use the Scottish Rite Member Portal to introduce and explain the program.The text will read:


In direct response to input from our Brothers, the Supreme Council of the Scottish Rite, SJ, has created an "Automatic Membership Renewal Program" to pay your annual Dues, giving you the option of having your dues automatically deducted from your credit or debit card using the online Scottish Rite Membership Portal.

This is a completely optional program and is available now by visiting and clicking on "MY VALLEY."

The automatic deduction will occur in August annually, and the payment will be applied to the following Dues year. You will receive an email reminder a few days prior to the payment being processed. Remember, you may opt out of the program at any time.

We hope this will help you avoid the "end-of-year" Masonic dues crunch that so many of us experience.

The House of the Temple with be closed on Tuesday (5/28) due to the water being shut off at the Temple and surrounding neighborhood for water main repairs. The work is expected to be complete by the end of the day on Tuesday and we plan to be back at work at 7 am EDT on Wednesday. We will let you know if there are any changes.

2020 Membership Cards

The print file for the 2020 cards was sent to the printer on May 9. The cards are in process this month and will be sent to all Valleys by June 30. This shipment will not include members added as initiates, reinstatements or affiliations after May 9. However, as in the past, Computer Services will print the remaining cards inhouse as soon as we receive our blank supply of 2020 plastic cards in June and will mail them to the Valleys. This applies to any new members added this year whose 2020 card was not in your June shipment.

Online Dues Payment Emails and Sentinel Email Blasts

We recently upgraded the Sentinel Server. As a result, some of the database generated emails such as the notifications for online dues payments that go out to the Valleys and also email blasts created in Sentinel were not being sent. We believe that this issue has now been resolved and the emails that were stored on the server have all been released. Therefore, you may receive several emailed notifications all at one time.

2018 Annual Report

The 2018 Annual Report is available in Sentinel. Go to the Member tab and choose Supreme Council Reports. Look for Annual Alpha Member Listing, Annual Gains and Losses, and Annual Recapitulation. Click the file to open it.

There are several restoration initiatives underway, and outreach to our members is being conducted on an on-going basis to restore membership of our lost Brothers. Below are the details of the 2 major programs currently being utilized.

1)Senior Restoration- Supreme Council Statutes allow the dues to be waived for any member of the Rite who is over age 80 and has a financial need. Currently we are contacting and reinstating members who were over age 80 when they were suspended between the years of 2014-Present. This is essentially a retroactive application of the existing statute. No doubt we will also find some of our older members have passed away, allowing us to provide support for widows and also to update our database. NO PER CAPITA will be charged to Valleys for members who are restored through this program.

2)Grand Commander’s Restoration Program- The 2018 GC Reinstatement Program has been extended into 2019. The program waives PAST dues for members who are a) 75 and under and b) have been suspended NPD for more than 3 years. The members need only to pay the current years dues to be in good standing. As in previous years, NO PER CAPITA will be charged for restored members who fail to pay the 2019 dues. As of January 1st, 2019, members who were suspended NPD in 2016 are eligible for this program.

Every possible effort is being made to ensure that ALL of the men reinstated under either of these programs are in good standing in their Blue Lodges. If it comes to our attention that a member has been restored who is NOT in good standing in his Blue lodge, we will remove him from the Scottish Rite rolls immediately, and make every effort to assist him in getting back in good standing in his Blue lodge.

These programs are being executed under the direction of the Supreme Council Membership Committee. Check with your Orient Deputy or SGIG to find out if your Orient is participating in the programs.

I have been instructed by the Grand Executive Director to remove all name prefixes in Sentinel except the following:

The purpose for this is to maintain database integrity. Over the past forty years, the prefix list has grown to a point where there are currently 178 prefixes in the dropdown list. There is no consistency in formatting and many of the entries are obsolete or duplicated. This is causing database processing issues and must be corrected.

All prefixes that are not on the above list are being removed from the member records. From this point on, the prefixes listed above will be the only options available in the prefix dropdown menu in Sentinel. However, you can still enter prefixes in the “Preferred Name” field as needed such as “Dr.” and military rank.

I have begun the process for removing the prefixes that are not on the short list. Before I began, I created a spreadsheet containing the records to be updated. The list includes the member’s number, name, Valley, and prefix to be removed. I am happy to share your Valley’s list on request.
